Proof of exportation

Proof of exportation is a certificate from a customs authority confirming that your goods have been removed from the customs area of the Union.

You may need proof of exportation when you, for any reason, need to prove that your goods have left the EU. The following are the most common situations in which you may need proof of exportation:

  • When completing inward processing, temporary admission or other special procedures;
  • When re-importing after temporary exportation and outward processing;
  • When requesting repayment of customs duties when returning goods post-importation.

In some instances, the Swedish Tax Authority or other authorities may request proof of exportation.

Proof of exportation may be requested in several ways

When your goods leave the EU from the country in which you declare the export, it is referred to as direct export. Thus, when exporting goods from Sweden via an exit customs office in Sweden, it is referred to as direct export. Use the code 30400 in your customs declaration to request proof of exportation for direct export.

Having declared your goods for exportation using a standard customs declaration (UNU), you should present the export to the export customs office by submitting the customs ID of your customs declaration. The customs office will issue an Export Accompanying Document containing your MRN, which you are required to present at the exit customs office when declaring your goods for removal. You do not need an Export Accompanying Document if the export customs office is the same as the exit customs office.

When declaring your goods for exportation in a standard customs declaration with simultaneous declaration of the goods (UGE), the customs office of export will lease your goods for exportation and assign an MRE number to the declaration. Print your Export Accompanying Document containing your MRN, which you are required to present at the exit customs office when declaring your goods for removal.

Proof of exportation for indirect export

“Indirect export” refers to when your goods exit the EU via a different country than that where you presented it for exportation. In cases of indirect export, information about export consignments are transferred electronically between Member states using the Export Control System (ECS). Consequently, you may request proof of exportation for any indirect exports from Sweden, provided that the customs office of exit has confirmed the removal of the goods.

The handling of your company's proof of exportation varies depending on whether your company is the declarant or an agent:

  • Collect it via Swedish Customs’ online service Exportbevis för deklarant (Proof of exportation for declarants)
  • Collect it via Swedish Customs’ online service Exportbevis för indirekt ombud (Proof of exportation for indirect agents)
  • Collect it via Swedish Customs’ online service Utförseluppgifter för ombud (Proof of exportation for agents)
  • Request it as secure digital mail via Mina meddelanden (My messages)


Proof of exportation for declarants

Declarants can retrieve their proof of exportation for their company's export cases. In addition to information from the customs declaration, a proof of exportation contains information about the following:

  1. Customs ID;
  2. MRN (Master Reference Number);
  3. Date of clearance;
  4. Control result code;
  5. Actual customs office of exit;
  6. Date of removal;
  7. Version of Swedish Customs’ IT System (version number and date, if any changes have been made by the customs office);
  8. Transit (transfer to transit).

Indirect agents may access proof of exportation for any consignments for which they have submitted export declarations. You can search for information about cases for a certain duration using the MRN or Customs ID.

Information about removal for agents

Agents may access information about any consignments for which they have submitted export declarations. This information is compiled in a list containing any consignments that have been confirmed as exported in the last week. This list contains information about the following:

  • Customs ID;
  • MRN (Master Reference Number);
  • Date of clearance;
  • Date of removal;
  • Modified by the customs office (modification date, where applicable).

Sign up for Mina meddelanden (My messages) and choose to receive secure and digital mail from Swedish Customs to receive your proof of exportation there. You will receive a notification by e-mail or text message any time a proof of exportation is issued.

Do you not have an EORI number?

  • The following applies to economic actors or individuals without a Swedish EORI number.
    • When exporting directly, you will receive your proof of exportation immediately at the customs office of exit.
    • When exporting indirectly, the customs office of export will send you your proof of exportation by email.
